Privacy Policy
AI JobPilot
Effective date: October 17, 2026
AI JobPilot provides tools for organizing a job search, finding roles, preparing application materials, and submitting applications on supported job sites. This Privacy Policy explains what information AI JobPilot handles, how it is used and shared, and the choices you have. It applies to your use of the AI JobPilot website, account, and related features. Third-party job sites and connected services have their own privacy notices and practices.
Information we handle
- Account information: details such as your name, username, email address, and authentication or account-security records.
- Career and profile information: resumes, work and education history, contact details, job preferences, answers, and other details you choose to add to a profile.
- Job-search and application information: saved job listings, URLs and uploaded job lists, application status, generated or tailored materials, answers, and application activity.
- Connected-service information: if you connect a Google account, the authorization token and the Google Calendar events needed for interview tracking (see “Google user data” below). If you connect a Microsoft Outlook account or forward job-site emails to an address AI JobPilot provides for your profile, the limited messages needed to complete application steps you start, such as verification codes and account activation or password-reset links.
- Payments and credits: credit balances, transaction records, and payment or blockchain transaction identifiers. Public blockchain transactions may be visible on the relevant network.
- Support and technical information: messages you send us, diagnostic and security logs, and basic device or request information needed to operate and protect the service.
Please only add information that you are authorized to provide and use.
How we use information
We use this information to create and secure accounts; provide job discovery, resume, answer-generation, application, billing, and tracking features; carry out actions you request; provide support; prevent abuse; troubleshoot errors; and operate and improve the reliability of AI JobPilot.
When you ask us to prepare application materials or answers, relevant profile and job information may be processed by AI or other service providers that support that feature. This never includes Google user data. When you ask AI JobPilot to submit an application, the information you selected is sent to the relevant employer or job-site system. Review generated content and application details before submission.
Google user data (Google Calendar)
This section applies only if you connect a Google account. AI JobPilot requests a single Google permission, the read-only Google Calendar scope https://www.googleapis.com/auth/calendar.events.readonly. AI JobPilot does not request access to Gmail or to any other Google service, and it cannot read, send, or change your email through Google.
What we access and why
- Google Calendar event data: event identifiers, titles, descriptions, locations, start and end times, organizer and attendee details, links, and meeting details for events in your primary calendar.
- Why: to provide interview tracking. AI JobPilot fetches events for the date range you view or request and may fetch an individual event when you open it or link it to an application, so it can show your interviews alongside the applications they belong to.
- Read-only: AI JobPilot does not create, edit, or delete Calendar events, and does not access calendar settings or other calendars.
How Google data is processed and stored
Calendar data is fetched from Google APIs by AI JobPilot’s backend after you connect your account and is processed only to provide the interview-tracking feature you use. We do not copy your entire Google Calendar or keep a separate archive of your events. We store the OAuth token returned by Google with the associated AI JobPilot profile so the feature keeps working; refreshed credentials may be saved. When you link an interview to an application, we store the Google event identifier and that association.
How Google data is shared
Google user data is not sold, not used to serve advertisements, not used to determine creditworthiness or for lending purposes, not sent to AI or language-model providers, and not used to develop, improve, or train AI or machine-learning models. We do not transfer it to third parties except as necessary to provide or improve the user-facing interview-tracking feature, to comply with applicable law, for security purposes, or as part of a merger, acquisition, or sale of assets with your explicit prior consent. Service providers that host or operate AI JobPilot may process it only as needed for those purposes and are required to protect it. Personnel do not read your Calendar data unless you give explicit consent to view specific data, when needed to investigate a security incident or abuse, or when required by law.
AI JobPilot’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Control, revocation, and deletion
You can stop future Google access at any time by removing AI JobPilot in your Google Account third-party connections. Revocation at Google prevents future access but does not by itself erase a token or interview links already stored by AI JobPilot. Disconnecting or changing the connected account in your profile settings deletes the stored Google token from that profile. You can also email support@aijobpilot.co or use the Help page to request deletion of your Google credentials and any stored event identifiers; we delete them unless we must keep them to comply with legal obligations.
When information is shared
We share information as needed with vendors that host, secure, support, or provide features for AI JobPilot; with AI providers when you use generation features (never including Google user data); with email or calendar providers when you connect those features; and with employers or job-site platforms when you use application features. Those providers may process information under their own terms and privacy practices.
We may also disclose information when required by law, to protect users and the service, or in connection with a business transfer. We do not make your private profile or resume public through AI JobPilot unless you choose a feature that does so.
Retention and security
We keep information for as long as needed to provide the service and for legitimate operational, security, accounting, and legal needs. Retention periods differ by information type. Messages received for application steps are kept only as long as needed to complete those steps. Some records, such as transaction records, may need to be retained after other account information is removed.
We use safeguards intended to protect information, including encrypted connections and restricted access to production systems, but no online service can guarantee absolute security. Keep your account credentials private and let us know through Help if you suspect unauthorized account access.
Your choices and privacy rights
You can review and update many profile and account details in AI JobPilot, change or disconnect the email and calendar accounts associated with a profile, or revoke Google access in your Google Account. Depending on where you live, you may also have rights to request access to, correction of, deletion of, or a copy of personal information, or to object to or limit certain processing. Email support@aijobpilot.co or use the Help page to submit a request. We may need to verify your identity and may retain information where the law permits or requires it.
Cookies, local storage, and external links
AI JobPilot uses browser storage and similar technologies to maintain sessions, security settings, and preferences. The site may link to job boards or other services; we do not control their content, cookies, or privacy practices.
Changes to this policy
We may update this policy as the service changes. We will update the effective date on this page when we publish a revision. Where required, we will provide additional notice.
